Job Duties/Qualifications, Skills and Abilities(QSA)
Job Duties
This position provides administrative support to the School of Mining, Energy & Manufacturing and the School of Natural Resources & Built Environment and Department of Cooperative Education including providing support to the academic chairs, programs, and co-operative education. More specifically:
1. Provides administrative assistance and support to the academic chairs, schools, program development office and co-operative education.
2. Assist with the composition and processing of lengthy and detailed reports.
3. Coordinate and arrange meetings, workshops and presentations including taking minutes for program advisory committees. Record and transcribe minutes and ensure distribution of the same.
4. Anticipate administrative requirements and handle routine matters, ensure efficient and effective flow of work and ensure quality output.
5. Responds to information requests in a professional and service oriented manner and providing appropriate referrals.
6. Independently organize and prioritize multiple tasks in a demanding work environment.
7. Maintain a high level of confidentiality for items of a sensitive nature.
8. Utilizes a specialized Co-operative Education database system (PlacePro) to perform or assist with maintenance of student registration and administration as pertains to the Co-operative Education program.
9. Provide research and support through data collection and preparation for data analysis.
10. Occasional travel is required.

1. Grade 12 with a recognized office administration certificate or business certificate, or an equivalent combination of education, training and experience.
2. Two years' recent, relevant experience in administrative work.
3. Intermediate computer skills and experience with software packages including but not limited to word processing, spreadsheets, databases, email, video communications and Internet browsers.
4. Training and/or experience in minute taking.
5. Excellent proofreading and editing skills.
6. Effective interpersonal and communication skills, including both oral and written.
7. Demonstrated organizational and problem-solving skills including the ability to take initiative and to multi-task with minimal direction/supervision.
